Scheduling
- Scheduling of SPs is on a first-come, first-serve basis.
- Requests for SPs must be scheduled at least six weeks in advance to guarantee the appropriate selection of SPs for each patient case; otherwise, there is no guarantee on the scheduling of SPs for an activity.
- The SP Program schedules SPs Monday through Friday from 8 a.m. to 5 p.m. Evening and weekend activities requesting SPs require at least one month advance notice and are subject to the discretion of the Director of the SP Program. SPs are requested to arrive 15 to 30 minutes prior to the activity. This will ensure that you have sufficient time to begin your activity on time and in order to not conflict with other scheduled activities.
Activities involving SPs can be scheduled at any site on the main campus, including but not limited to the Clinical Simulation Center and SP Clinic, the Scott & White Hospital, and the Medical Education Building. It is recommended that OSCEs take place at the Clinical Simulation Center and SP Clinic.
Special sites for activities require at least one-month advance notice and are subject to the discretion of the SP Program. Please reserve sites for times at least 30 minutes prior to the activity start time to allow SPs time to arrive and prepare for the activity.
Activities requiring extended travel and transportation of the SPs will need approval by the SP Program.
The department will be responsible for reserving the site for the activity; additionally, the SP Program will work cooperatively with the Clinical Simulation Center and other facilities to confirm the reservation of the activity.
Activities taking place at the Clinical Simulation Center and SP Clinic, regardless of date and time, will need approval by the Director of the Clinical Simulation Center.
Request Form
To request SPs for an activity, download and complete a Standardized Patient Request Form
and submit to the SP Program Department Assistant at least six weeks in advance of the activity. SPs are not scheduled until the request form is received and processed.
The request form can be e-mailed as an attachment, faxed or sent through interoffice mail. You will receive an e-mail confirmation once the SP request form has been received and processed.
Cancellations
Cancellations of SPs for activities must be made at least 72 hours prior to the activity.
