Publications Department
The Publications Department was established 40 years ago at Scott & White to assist physicians in the preparation of manuscripts, abstracts and other materials being submitted to peer-reviewed medical journals.
Today, as part of the Grants Administration Office located at the Scott & White 57th Street Annex building, the Publications Department continues to offer assistance with medical manuscripts, copy-editing, textbook chapters, grant application editing, syllabi for CME, books and desktop publishing. The three person department is comprised of two medical editors and one data coordinator.
Conformity: The Publications staff will produce a final manuscript according to the guidelines prescribed by the specific journal to which author wish to submit the article. If the "Information for Authors" page and a sample article are not readily available, the Publications staff will secure one from the journal or the Internet.
Accuracy: Text within reason, text will be spell-checked by computer (using the Stedman's Medical Dictionary) for accuracy. Questionable words (i.e., drug names) will be brought to the attention of the primary author for verification. Authors are expected to verify measurements, numbers, etc. within the article.
Reference checks: The Publication Department has an excellent working relationship with the staff of the Richard D. Haines Medical Library. All references will be verified via the library's equipment for bibliographical accuracy.
Grammar: Each manuscript is copy-edited and reviewed for specific standards. Suggestions for revisions are denoted on the draft. Each author must decide whether or not to accept the editorial suggestions.
Artwork: When figures (i.e., photographs, graphs, line drawings) are required, Publications will work with the authors, Medical Illustrations, Digital Imaging and Photography to assure compliance with journal guidelines and to eliminate the need for the authors to expend their time in completing this portion of the project.
Transmit: The Publications staff will draft an undated submission letter to accompany the manuscript, type the mailing labels as well as certified postal cards, and make all necessary copies.
Revisions: If the journal accepts the manuscript conditionally (with certain changes), the Publications staff will assist the author in revising the article according to the editorial comments and will prepare it for return to the journal.
Reprints: Publications maintains a reprint service, for all published authors at Scott & White. Article reprints are ordered, maintained (and paid for by the Publications Department) Publications will forward copies to the requestor.
